Cwpan Business Policies
Health and safety • Product sourcing • Ethical trading • Environmental management
Version 1.0 | Prepared 29 September 2026 | Policy owner: Shelby James Williams, Founder of Cwpan.
Cwpan is an owner-operated Welsh syrup business based in Treherbert. Products are made and bottled in the proprietor’s home kitchen. Cwpan is registered as a food business and holds a Food Hygiene Rating of 5 out of 5. These policies set out the commitments and working arrangements for production, purchasing, packing and delivery. The proprietor is responsible for implementing and reviewing all four policies.
Health and Safety Policy
Cwpan is committed to protecting the proprietor, customers, visitors and anyone who may be affected by its work. Work will be planned around the risks of hot liquids, glass, cleaning products, equipment, lifting and deliveries.
During production, the work area will be kept clear of household activity, children and pets. Floors and routes will be kept clear and spills dealt with promptly. Hot syrup will be handled using stable equipment, manageable quantities and suitable protective clothing. Equipment will be checked before use, maintained appropriately and taken out of use if unsafe.
Glass bottles will be checked for damage. Any breakage will trigger a stop to affected work, isolation of potentially contaminated product and thorough cleaning before production resumes. Cleaning products will be used according to their instructions, kept labelled and stored away from ingredients and packaging. Heavy loads will be divided or moved with assistance or suitable equipment.
The proprietor will maintain appropriate food safety procedures, hygiene controls and production records alongside this policy. Emergency exits will be kept accessible and suitable first-aid and fire precautions maintained. Accidents, near misses and unsafe conditions will be recorded and used to improve working arrangements. Risks will be reassessed when equipment, premises, processes or staffing change.
Product Sourcing Policy
Cwpan will purchase ingredients and food-contact packaging from identifiable suppliers, selecting them for safety, suitability, consistent quality and reliability as well as price. Local and UK suppliers will be considered where practical; purchasing from a UK supplier will not be presented as proof that an ingredient was grown in the UK.
Supplier details, invoices and available ingredient specifications, allergen information and batch references will be retained. Deliveries will be checked for damage, condition and date information. Ingredients and packaging will be stored appropriately, and records maintained to connect production batches with their ingredients and trade customers.
Supplier, ingredient or packaging changes will be checked for their effect on flavour, allergens, labelling, food-contact suitability and shelf life before use. Suspect materials will be set aside and investigated. Where product safety may be affected, Cwpan will stop supply of affected batches and follow its withdrawal or recall arrangements, informing customers and the relevant authority as appropriate.
Ethical Trading Policy
Cwpan is committed to honest, fair and respectful business dealings. It will describe products accurately, honour agreed commercial terms, avoid misleading provenance or certification claims and treat customers and suppliers without discrimination, harassment or intimidation.
Cwpan does not accept forced labour, human trafficking, exploitative child labour, bribery or corruption in its business or supply chain. The business currently has no employees. If workers or contractors are engaged, Cwpan will check the applicable requirements and provide fair terms, safe working conditions and respectful treatment.
Supplier checks will be proportionate to the product, source and risk. These may include reviewing publicly available sourcing or labour policies and asking suppliers for further information where concerns arise. Cwpan will seek credible evidence before making ethical sourcing claims and will not describe suppliers as audited or certified without supporting evidence.
Concerns will be recorded and investigated by the proprietor. Cwpan will seek clarification and corrective action from the supplier, suspend purchasing where necessary, and end a relationship where serious concerns cannot be satisfactorily resolved. Suspected criminal conduct will be referred to the appropriate authorities. Anyone raising a concern in good faith will be treated respectfully.
Environmental Management Policy
Cwpan is committed to reducing the environmental impact of its production, packaging and deliveries through practical measures appropriate to a small home-based business. Food safety and product protection will remain essential when making environmental changes.
Production and purchasing will be planned to reduce avoidable ingredient waste, excess stock and spoilage. Packaging will be kept to the amount needed to protect the product. Cwpan will consider material weight, durability, recyclability and supplier information when choosing bottles, closures, labels and transit packaging.
Clean, suitable transit packaging will be reused where practical, and waste will be separated and managed through appropriate business waste arrangements. Recycling guidance will reflect the actual materials and available collection options. Cwpan will not claim that all packaging is recyclable or that the business is carbon neutral without evidence.
Water and energy will be used efficiently without compromising cleaning or food safety. Equipment will be switched off when safe and not needed, leaks addressed, and deliveries combined where practical. Cleaning products and waste will be handled to prevent pollution and disposed of using suitable routes.
At each annual review, the proprietor will consider ingredient waste, packaging use and delivery practices, record practical improvements and set achievable actions for the following year. Environmental concerns raised by customers or suppliers will be investigated and acted upon.
Adoption and Review
These policies take effect immediately from 29/09/2026. The proprietor will review them at least annually and sooner after a significant change, incident or substantiated concern. Any future staff or contractors will receive the information relevant to their work. Customers and suppliers may raise policy questions through the contact route at cwpan.com.
